Data Retention & Account Deletion Policy

WFDP Academy recognizes the importance of responsible management of personal information throughout the lifecycle of a user account.

This policy explains the general principles governing retention of account information, learning records and related data, as well as requests concerning account deletion.

This policy should be read together with the WFDP Academy Privacy Policy.

1. Data Retention Principles

WFDP Academy may retain personal information for as long as reasonably necessary for the purposes for which it was collected, including to:

Different categories of information may be retained for different periods depending on their purpose.

2. Account Information

Information associated with an active WFDP Academy account may be retained while the account remains active and as reasonably necessary thereafter for legitimate administrative, educational, security or legal purposes.

Users are responsible for keeping relevant account information accurate and current.

3. Learning Records

WFDP Academy may maintain records concerning:

Certain learning records may need to be retained after an account is closed where necessary to preserve the integrity and verification of certificates, credentials or institutional records.

4. Certificates and Credential Verification

Deletion of an account does not necessarily require deletion of all records relating to certificates or credentials previously issued.

WFDP Academy may retain limited information necessary to establish that a credential was validly issued, maintain verification functionality, prevent fraudulent credentials or protect the integrity of Academy records.

Where appropriate, such records may be restricted to information reasonably necessary for these purposes.

5. Payment and Transaction Records

Information relating to payments, invoices, refunds and other transactions may be retained for accounting, fraud prevention, dispute resolution, auditing or other applicable requirements.

Payment information processed independently by third-party payment providers may also be subject to those providers’ retention policies.

6. Account Deletion Requests

Where account-deletion functionality is available, users may submit a request through the relevant account feature or official WFDP Academy support channel.

WFDP Academy may take reasonable steps to verify the identity of the person making the request before processing it.

Account deletion may result in loss of access to courses, learning history, account functionality and other services associated with the account.

Users should download any information or certificates they wish to retain before requesting deletion where such functionality is available.

7. Information That May Be Retained

An account-deletion request does not necessarily require immediate deletion of every record associated with the user.

WFDP Academy may retain information where reasonably necessary for purposes including:

Where appropriate, information no longer required for active use may be deleted, anonymized or otherwise restricted.

8. Inactive Accounts

WFDP Academy may establish procedures for managing accounts that have remained inactive for an extended period.

Where appropriate, users may be contacted before significant action is taken concerning an inactive account.

Certain records may continue to be retained where necessary for legitimate educational, administrative, credentialing, security or legal purposes.

9. Instructor Accounts

Requests to close or delete an instructor account may require additional consideration where the instructor has published courses, participated in learner assessments, issued educational communications or contributed to institutional records.

Closing an instructor account does not automatically require removal of all course or historical records associated with activities previously conducted through the Academy.

Applicable instructor or partnership agreements may establish additional requirements.

10. Partner and Institutional Programs

Information associated with programs delivered jointly with another institution or organization may be subject to additional record-retention requirements established by the relevant program or agreement.

WFDP Academy and participating institutions may retain appropriate records according to their respective responsibilities.

11. Backups and Technical Systems

Deleted information may remain temporarily within secure backup or recovery systems until those systems are overwritten or updated according to normal technical processes.

Information retained solely within backups should not ordinarily be restored for routine operational use after deletion unless necessary for security, disaster recovery or another legitimate purpose.

12. Security Records

Certain technical information, security logs or records concerning suspected fraud, misuse or unauthorized access may be retained where reasonably necessary to protect WFDP Academy, its users and its systems.

13. Requests and Questions

Requests concerning account deletion or personal information should be submitted through official WFDP Academy contact or support channels.

Users may be asked to provide information reasonably necessary to identify their account and verify the legitimacy of the request.

14. Relationship With the Privacy Policy

This policy supplements the WFDP Academy Privacy Policy.

The Privacy Policy provides broader information regarding the collection, use and protection of personal information, while this policy focuses specifically on data retention and account deletion.

15. Policy Updates

WFDP Academy may update this policy periodically to reflect developments in its learning platform, credentialing systems, operational practices or applicable requirements.

WFDP Academy seeks to retain information only where there is an appropriate educational, administrative, security, legal or institutional purpose for doing so.
